Position Description Administrative Associate
The FrameWorks Institute a nonprofit think tank that designs, conducts, interprets and explains communications research to advance the resolution of social problems -- seeks a skilled administrator to support project administration and management of this multi-project organization. This position is the key liaison between numerous overlapping research and teaching projects, and requires a highly detailed person who can anticipate scheduling problems, suggest corrective actions, and work creatively and supportively with a geographically diverse staff to resolve planning issues and meet deadlines.
The successful candidate would have some or all of the following: a BA degree and evidence of strong writing skills; familiarity and fluency in project management software; experience in managing a nonprofit organization at some level, or in the world of nonprofit management, including managing "traffic," creating spreadsheets, synchronizing schedules, monitoring budgets and programs; and strong interpersonal skills.
Duties are as follows:
Project Management
- Create timelines for all project deliverables, and communicate and monitor these with subcontractors and relevant FrameWorks staff
- Issue contracts for subcontractors, as selected and directed by FrameWorks staff
- Initiate phone and in-person conferrals for FrameWorks staff and consultants at critical points in the evolution of projects; provide summary of agreements and outcomes and monitor follow-up
- Create and monitor an ongoing project overview that prevents competition between projects for staff time
- Oversee the maintenance of FrameWorks' archival material, including curricular, exercises, publications and powerpoints
- Monitor reports due to funders, secure necessary information from FrameWorks staff and draft interim and final project reports
Financial and Administrative Management
- Develop and monitor overall budgets for FrameWorks, as well as project-specific budgets, in collaboration with President, Administrative Manager and accountant
- Collaborate with the Administrative Manager in the execution of financial, administrative and project support
- Prepare interim and final financial reports to funders, as required
- Secure input from FrameWorks staff for inclusion on the FrameWorks website (www.frameworksinstitute.org) and write appropriate postings of events, people, etc.
- Contribute to funding proposals as assigned
- Track timelines for renewal and management of insurance policies, and alert FrameWorks staff
- Develop procedures and products to enhance the performance of the organization
Position reports directly to the President of the organization, but must be collaborative and responsive to a wide array of staff and consultants around the country. Salary and benefits are commensurate with experience and personnel structure of the nonprofit FrameWorks Institute.
